The Service of Process (SOP) Module manages all of your service of process records and deadlines. It enables users to manually input SOP records or automatically retrieve them from a registered agent, store SOP data and attachments in a matter, track deadlines to ensure that responses are made on time, and maintain an audit log of SOP records and activity.

One of the primary benefits of the module is that it will help your department avoid missed response deadlines by:
  • Streamlining the intake and assignment process
  • Organizing response information
  • Sending email reminders of upcoming due dates
  • Displaying alerts when needed

Automated retrieval of service of process records


Serengeti's automated service of process retrieval is currently available from both CSC and CT Corp. Rather than downloading documents from a vendor Web site or receiving paper copies of SOP records, Serengeti automatically connects to your registered agent and uploads the documents and data directly into the system. The module also includes a robust error identification, notification, and resolution process to ensure that your law department receives accurate data.

If your company does not use a registered agent, Serengeti provides a specialized form that allows you to input service of process documents, dates, and related information rather than downloading it from a registered agent.
 

routing of records to a matter


Once you have received your records, Serengeti streamlines the process of associating those records with an existing matter, or creating a new matter. Assignment rules allow you to automatically route records to an existing matter based on case number, entity served, the state of service, or the nature of the action (e.g. garnishment, subpoena, litigation). Service of process records can also be manually routed to a new matter. If a new matter needs to be created, Serengeti reads the data from the SOP record and pre-fills it into the new matter form.
 

Tracking Deadlines


Once a record has been assigned to a matter, Serengeti provides a number of features for ensuring that deadlines are met. Email reminders and Dashboard alerts are sent in advance of response deadlines to both the person responsible and an "Escalation User." If a law firm has been assigned as responsible for an SOP record, they are not allowed to post invoices to the matter until all SOP requirements have been completed. System administrators can run a report to view all upcoming deadlines and the completion status of all SOP records.
